Streamlining Global Telecomunications Saves VIX $120,000 Annually
Outdated and inefficient telecommunications systems can be costly as well and difficult to manage as Vix Technology discovered when they found an 86% cost saving, equating to nearly USD $120,000 annually, when streamlining their global communications infrastructure.
Based in Perth Australia, Vix Technology provide and operate automated fare collection and passenger information systems for mass transit operators. With 650 employees & subcontracted development teams and over 18 offices globally, a cost effective and flexible solution was necessary in order to improve efficiency and allow growth within the business.
Inefficient and expensive.
Vix Technology’s multiple existing systems were difficult to manage, inflexible, and expensive. The lack of common system meant no shared presence indication and calls between offices were chargeable. With each platform requiring separate knowledge to configure, the infrastructure was cumbersome to the business and not fulfilling requirements.
Corporate IT Applications Manager, Andrew Hines comments – “We wanted a global system with shared presence, free calls between offices and increased flexibility. 8×8 & RingCentral were trialled, and BT eventually admitted they didn’t have a global solution in our timeframe. 8×8 was a viable option but after a year of use we realised that we would be much better off hosting ourselves with 3CX.”
Consolidating systems.
After an in-depth evaluation of 3CX partners Andrew Hines was referred to GMA, an experienced MSP, security and telecommunications provider based in Penge, London. With over twenty-five years’ experience in guiding business through this process, and as a 3CX Platinum partner GMA were perfectly positioned to help Vix Technology streamline their telecommunications to one system.

Replacing multiple systems for one, easily managed solution involved building three 3CX servers globally located in each of Vix’s main market areas – APAC, EMEA, NorAm. SIP trunks were built for each office, and phones reconfigured to connect to 3CX. A temporary divert was put on the phone numbers to send calls to 3CX. Once the new system was proved, the phone numbers were ported to the new SIP provider. GMA managed most of this process and did all their work remotely.

Efficiency benefits.
All offices now share a single dial plan and every user can directly dial everyone else whilst being able to see their presence status. This is very useful with many branch offices and mobile workers.
Efficiency was increased because having one product reduced the knowledge and time required to administer it while also increasing flexibility and reducing total cost of ownership. At the same time Vix Technology saw an increase in staff productivity. Both shared presence and the soft phone/mobile client have significantly increased productivity.
The 3CX solution also allowed for greater staff mobility with employees reporting that they love the ability to use their extension regardless of their location with the soft phone on their laptop and mobile phone.
